Privacy Policy

TradieCall (operated by JXM Studio, New Zealand) answers phone calls for trade businesses using AI. This policy explains what personal information we collect, why, where it goes, and your rights under the New Zealand Privacy Act 2020 (and, for Australian customers, the Privacy Act 1988).

What we collect

  • Account data: your name, email, mobile number, and the business details you enter during setup (services, hours, service area, pricing you choose to share with callers).
  • Call data: recordings, transcripts, and details extracted from calls answered by your AI receptionist — caller name, phone number, address, job description, preferred times, and urgency.
  • Bookings and messages: tentative bookings, messages, and SMS/email notifications generated from calls.
  • Usage and billing: call minutes, plan, and payment status. Card details are collected and held by Stripe, never by us.
  • Calendar data (optional):if you connect Google Calendar, we store the connection tokens and read your free/busy times to avoid double-booking, and create events for confirmed bookings. We don't read the content of unrelated events. TradieCall's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

How we use it

Only to run the service: answering your calls, taking messages and bookings, sending you summaries and alerts, generating quotes, billing, and support. Call audio and text are processed by our AI providers (speech-to-text, language model, text-to-speech) solely to handle the call and produce your summaries. We do not sell personal information, and we don't use your calls for advertising.

Callers' information

Your AI receptionist collects details from your callers on your behalf, as your agent. That information belongs to your business; we store it so you can access it in your dashboard. You are responsible for handling callers' information in line with the privacy laws that apply to you, including telling callers about recording where required — we recommend a recording notice in your greeting. Callers who want their information corrected or deleted should contact the business they called; we'll assist that business to comply.

Where your data goes

Our database is hosted with Supabase in Sydney, Australia. To operate the service we share data with service providers who process it on our behalf: Stripe (payments), Twilio (phone numbers and telephony), Vapi (voice AI orchestration), Deepgram (speech-to-text), ElevenLabs (text-to-speech), OpenRouter and its model providers (language models), Resend (email), Mocean (SMS), and Google (calendar sync, if you connect it). Some of these providers process data outside New Zealand, mainly in Australia and the United States; we only use providers that are subject to privacy safeguards we consider comparable overall to New Zealand's, and they may use your data only to provide their service to us.

Security

Data is encrypted in transit, access within the app is enforced with row-level security so each business can only see its own data, and administrative access is limited. No system is perfectly secure; if a breach causes serious harm we'll notify you and the Privacy Commissioner as the Privacy Act requires.

Retention and deletion

Call recordings, transcripts, and account data are retained while your account is active so your call history works. If you cancel, you can request deletion of your account data by emailing us; we delete or anonymise it within 30 days, except records we must keep for tax or legal purposes (e.g. invoices).

Your rights

You can ask for a copy of the personal information we hold about you and ask us to correct it — email us and we'll respond within 20 working days. If you're not happy with how we handle your information, you can complain to the Office of the Privacy Commissioner (privacy.org.nz) or, in Australia, the OAIC (oaic.gov.au).

Cookies and analytics

We use Google Analytics 4 on the marketing site to understand how visitors find us. No advertising pixels are installed. The app itself uses only the cookies needed to keep you signed in.

Changes

If we change this policy in a way that matters, we'll email account holders before the change takes effect.
